Associate Controller Salary: See Position Description Location: Bradenton Job Type: Department: Finance and Administrative Services Job Number: Closing: Continuous Description Job Summary This position assists the AVP, Finance/Controller in the planning and management of the Finance Departments. The Associate Controller supervises the Senior Accountant, Staff Accountant, and Student Worker positions in the finance department. Assumes leadership of the Finance Department in the absence of the AVP. Applicants may be asked to demonstrate any or all of the following duties: • Compiles reports and performs analysis for capital improvement funds requests and reports expenditures to date for appropriate capital projects. • Takes lead on maintaining and monitoring Enterprise Resource Planning System for all organization-wide financial access, including new employee setup, finance process access, approval access, access to funds and organizations, and P-card access, if applicable. Also, creates new detail codes and new funds, org's and accounts as needed. • Manages unit activities for processing accounting documents, maintaining accounting records, preparing accounting statements and reports and other related functions. Also, approves daily, monthly, and other periodic entries to the official books of the college, including all journal vouchers, budget amendments and other adjusting entries as needed. • Prepares key statements such as balance sheets, income statements, source and application of funds statements, notes to financial statements, reports for assuring compliance with laws and regulations affecting expenditure of funds, reports for controlling the budget, and reports on the status of obligations and expenditures. • Reviews/prepares Collegiate School financial reports/spreadsheets quarterly for submission to the School District and annually for review by Collegiate School auditors. • Interacts with IT Department to outline criteria for reports requested. Uses report writing and query software to produce simple reports as needed for payroll, finance, accounts receivable, and purchasing. Works with IT Department to make enhancements to College database forms. • Assists in the oversight or preparation of financial and statistical reports for the Board of Trustees, and state and federal governments. These reports include but are not limited to Annual Financial Report, Annual Schedule of Expenditures of Federal Awards (SEFA), Annual Cost Analysis, Annual TEA (technology) Report, Annual Financial Aid Fee Report, Annual Students with Disabilities Report, Annual IPEDS Financial Reports, Worker's Compensation Reports, monthly trial balance summaries, monthly operating revenues and expenditures, grant reports and ad hoc reports as required. • Prepares all Grant and Foundation billings for the finance office. • Supervises, coaches and evaluates the senior accountant, staff accountant and student worker positions as assigned. • Provides managerial oversight for staff members and assumes leadership of the Finance Department in the absence of the AVP. • Serves on various committees, as required for the position. • Performs other duties as delegated by the AVP, Finance/Controller. Job Qualifications The requirements listed below are representative of the knowledge, skill, and/or ability required. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. • Education/Experience: Master's degree in Business Administration, Accounting or related field and at least four years' experience, or Bachelor's degree in Business Administration, Accounting or related field and at least six years' experience is required; with at least two of those years at the administrative/managerial level. CPA and Higher Education work experience is preferred. • Supervisory Experience: At least two years' supervisory experience, including hiring, firing, and evaluation responsibilities. • Language Ability: Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public. • Math Ability: Ability to work with mathematical concepts such as probability and statistical inference, and fundamentals of plane geometry and trigonometry. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations, and to draw and interpret bar graphs. • Reasoning Ability: Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables. Ability to work with formulas, scientific equations, graphs, musical notes, etc. • Computer Skills: Intermediate level word processing, presentation and report writing software. Advanced level spreadsheet software. Work proficiently with College database, e-mail Internet and web development software, within 1 month of hire. • Certificates and Licenses: Certified Public Accountant (CPA) in the State of Florida preferred.The job requires the employee to be bondable. Responsibility for People and Property: Supervision of senior accountant and career accounting positions as assigned. This position has responsibility for transfers between bank and investment accounts on a daily basis and is responsible for the integrity of all cash/investments assets of the College and ensures that sufficient funds are available for current expenditures. The range in transaction amounts vary, often times involving millions of dollars daily. Responsibility for Communication: • Internal Contacts: This position has routine contact with all levels of State College of Florida, Manatee-Sarasota employees. • External Contacts: This position has routine contact with other colleges and universities, banks, State Board of Administration, and routine contact with state agencies.
