Position Summary Healthy Teens, Inc. is seeking a detail-oriented part-time Administrative Support Specialist to support the daily administration of our mission-driven nonprofit organization. This role requires a proactive, organized, and flexible individual who can manage multiple tasks, communicate effectively, and thrive in a collaborative, fast-paced environment. This role is essential for supporting operations in office management, donor relations, fundraising, communications, programming, and grant reporting. Key Responsibilities Organizational Administration ? Maintain organizational calendars and schedules ? Monitor correspondence–email inboxes and paper mail–and route inquiries appropriately ? Manage office and programmatic supplies, order new materials as requested ? Assist with financials: track invoices, deposits, purchasing, and staff timesheets ? Support fundraising efforts including: ? Maintain a calendar of all fundraising deadlines ? Maintain the donor management system and ensure accurate data entry ? Prepare and send thank you notes and donation receipts to donors and partners ? Contact individuals and businesses for sponsorship and donation requests ? Provide on-site assistance for fundraising events ? Assist with additional administrative or project-based tasks as requested Program Support & Administration ? Support recruitment, onboarding, and training of program participants ? Prepare materials used for educational programming and outreach events ? Assist with program logistics including communications, space reservations, and more ? Assist with communications including social media, newsletter, and website ? Maintain databases and keep files up to date ? Enter participant data and program progress Qualifications Required ? Passion for working with young people (ages 10–21) from diverse backgrounds. ? High school diploma or equivalent required. ? Highly organized and able to effectively manage multiple priorities. ? Excellent communication skills, both verbal and written. ? Team player with the ability to work independently. ? Detail-oriented with a clear understanding of organizational goals. ? Proficiency with Microsoft Office, Google Suite, donor databases, and technology. ? Willingness to work flexible hours. ? Must pass a Level 2 background check. ? Must have own transportation. Quaifications Preferred ? Experience with office management. ? Being bilingual (Spanish or Creole) is a plus. ? Cultural competency and ability to work in diverse settings. Physical Requirements ? Ability to lift up to 20 lbs. ? Able to read documents and screens, hear clearly, and communicate in English. Working Conditions Working Conditions ? Primarily in-office ? Some local travel may be needed (Manatee and Sarasota Counties) ? Some evenings and weekends are occasionally required.
